- Each team must bring 2 chess clocks. If unavailable, clocks can be rented by the organizer for Rs 1000 per clock for the tournament.
- Participating teams must bring their University/Institution flag to be displayed during the Inaugural Ceremonial Walk/Parade.
- General team board orders should be submitted by [time] on [date]. Changeable board orders must be submitted at least one hour before the next round.
- Teams should submit the players’ current ratings. Team seeding will be determined accordingly.
- Walk-over time: 15 minutes.
- Use of mobile phones, wristwatches, or communication devices is strictly prohibited in the playing area. Violation results in team disqualification. Coaches and managers must keep mobiles silent in the tournament hall.
- Captains must carefully submit result sheets.
- Objections must be lodged within two hours of the current round's completion, along with Rs 1000 as an objection fee.
- Coaches and managers must leave the tournament hall five minutes before each round starts.
- Appellate committee decisions are final and binding in case of disputes or cheating allegations.
- All participants must wear/display identity cards during their stay at Sarala Birla University for identification and hospitality.
- Submit the travel plan with player/manager/coach lists for smooth accommodation at SBU.
- Provide the current year's AIU subscription receipt to the organizing secretary at registration.
- Certificates and gate passes will be issued on the final day after no-dues certification from the registration desk.

The East Zone Inter-University Chess Tournament embodies the spirit of collegiate chess competition, fostering both competitive excellence and sportsmanship. As a prestigious event in the university sports calendar, this tournament offers a platform for young chess masters to showcase their tactical prowess and strategic thinking. Our organizing committee has developed a comprehensive framework to ensure smooth execution of the tournament, with key features including:
The tournament will be conducted as per the rules of All India Chess Federation as adopted by AIU. (Detailed rules will also be shared with the Team Manager’s during the managers meeting to be held on 2.2.25 (@4:00 pm) at Sarala Birla University, Ranchi before the commencement of the tournament)
- The East Zone Inter-University Chess Tournament (Men) 2024-25 will commence from 3/2/2025 to 8/2/2025 at Sarala Birla University, Ranchi
- The Inauguration/Opening ceremony will be on 3/2/2025 at 11:00 am and Valedictory Ceremony will be on 8/2/2025 at 4:00 pm.
- All the teams with their player in uniform and flag along with managers/coaches are required to be present in the opening day ceremonial walk/ parade as a matter of decorum.
- The tournament will be held at the Sarala Birla University, Ranchi
- The nearest railway station is Namkum railway station located 4.5 km away from SBU followed by Tatisilwai junctionlocated 4.7 km away from SBU and Ranchi Junction, 8.8 km from the SBU. from the venue.
- The nearest Airport is Birsa Munda Airport located approx 15.2 km away from Sarala Birla University, Ranchi.
- The nearest Bus Stand is Khadgarha bus stand, 8.4 km from SBU, followed by Ranchi Govt. bus stand located 10.7 km from Sarala Birla University, Ranchi
- Private transport facilities like auto, taxi etc. from railway station/ airport/ bus stand may be availed by the participating teams, however Sarala Birla University, Ranchi may provide transportation facilities to the participating University/Institution teams up to the venue on chargable basis. The schedule of the transportation facility provided by Sarala Birla University, Ranchi will be shared to all the participating institution well in advance.

- In case participating University/ Institution fails to furnish the details in the required performa then it will be assumed that your University is no more interested in participating in the tournament and no further arrangements will be made for your University towards participation in the aforesaid event.
- Accommodation will be provided to the participating teams, including basic bedding (mattress and pillow) after the payment of requisite team charges and lodging charges ( as fixed by AIU/ SBU)/ production of payment slip
- The captain/ contingent leader are liable to compensate for any kind of loss or damage to the property / room of SBU. The loss or damage will be recovered from the security amount deposited by the respective teams, in case the amount of loss exceeds the deposit amount the team have to pay the exceed amount to the designated pay counter.
- Teams are expected to vacate their rooms within 24 hours after their last match.
- Participants are advised to bring locks for securing their personal belongings. Under any circumstances SBU, Ranchi or the organizing committee for the aforesaid event will not be held responsible for any kind of loss of personal belongings.
First Aid will be available at the venue, and serious medical cases will be referred at government and civil hospitals at Ranchi. Medical expenses will be borne by the concerned teams.
The month of February in Ranchi experiences essentially constant cloud cover, the weather in here is cool and breezy, so you are advised to travel with proper winter as well as casual clothing.
- Officiating Charges: Rs. 2500/- per University
- Security Deposit: Rs. 5000/ - refundable after tournament, subject to deduction of the damage assessment.
- Objection Fee: Rs. 1000/- (if required, within 1 hour after finish of current round)
- Food Charges: Rs. 450 per day per participant (inclusive of breakfast including tea, lunch, evening snacks, and dinner). Teams may avail the fooding facility by paying the requisite amount at the registration counter, after payment food coupons will be given to the candidate
Teams must submit 4 copies of the eligibility performa, duly signed by the University’s/Institution’s competent authority, along with identity cards of the institution and other identifications including AADHAR card, Matriculation Certificate, Intermediate Certificate and the copy of result of current academic year (any semester) during the registration process. Failure to submit any required document will result in the non-initiation of your registration for the event. Please click on this link for annexures.
- Team Manager’s Meeting:A meeting for all team managers will be held on 2/2/25 at 4:00 pm to discuss fixtures and rules. The copy of the fixtures will be provided on 2/2/25.
- Arrival Formalities: All teams are requested to report at [venue] , where on arrival reception/help desks will be available for easing out yours formalities related to arrival, accommodation and food management on [date , before time].
- Reserve Rights: The decision of the organizing committee shall be final and binding pertaining to all the matters related to the tournament.
- Legal Action: Legal action will be taken against misconduct the oral/ written instructions at the place of tournament are compulsory to be obeyed for harmonious and long-lasting relationships among the participating universities.
- Team Presence for the Inauguration Ceremony is Compulsory: Players/ teams of the participating institutions are supposed to be present during the ceremony otherwise they will not be allowed to participate in the tournament.
